Organization Management

Manage your organization settings, team members, and subscription.

Understanding Organizations

In WorkflowHero, an organization is your team's workspace. All workflows, documents, and resources belong to your organization. Users can be members of multiple organizations with different roles in each.

Organization Membership

When you create an account, you automatically become the owner of your own organization. You can then:

  • Invite team members to join your organization
  • Join other organizations when invited by their admins
  • Switch between organizations to access different workspaces

Member Roles

Each organization member has one of three roles:

Admin

Full access to all features including managing members, settings, and billing. Can create, edit, and delete workflows and folders. Can invite new members.

Member

Can create and edit workflows, manage folders, and view analytics. Cannot delete workflows, invite members, or manage organization settings.

Viewer

Read-only access. Can view workflows and analytics but cannot create, edit, or delete anything. Ideal for stakeholders who need visibility without editing rights.

Inviting Team Members

Admins can invite new members to join the organization:

  1. Navigate to Team Settings
  2. Click "Invite Member"
  3. Enter the member's email address
  4. Select their role (Admin, Member, or Viewer)
  5. Add an optional personal message
  6. Send the invitation

The invited user will receive an email with a secure invitation link. The link expires after 7 days if not accepted.

Member Status

Members can have different statuses:

  • Pending: Invitation sent but not yet accepted
  • Active: Member has accepted and can access the organization
  • Suspended: Temporarily restricted from accessing the organization
  • Removed: No longer a member of the organization

Custom Member Fields

Add custom information to member profiles:

  • Department: Organize members by department
  • Job Title: Track member roles in your organization
  • Phone: Contact information for team members

Removing Members

When a member is removed from an organization:

  • They immediately lose access to all organization resources
  • They become the admin of their own default organization
  • They must subscribe to a plan to continue using WorkflowHero
  • All actions are logged in the audit trail

Organization Settings

Admins can configure organization-wide settings:

  • Organization name and details
  • Subscription plan and billing
  • Member permissions and roles
  • Resource usage and limits
  • Security and compliance settings

Multi-Organization Support

Users can belong to multiple organizations:

  • Each organization is completely separate
  • You can have different roles in different organizations
  • Switch between organizations using the organization selector
  • Each organization has its own subscription and resources

Important

Organization owners and admins are responsible for managing the subscription. If you remove all admins, make sure at least one member can manage billing to avoid service interruption.
