What is a Workflow?

A workflow is a structured process that defines how work gets done in your organization. Think of it as a digital blueprint that guides tasks from start to finish, ensuring nothing falls through the cracks.

Key Workflow Components

Stages

Stages represent the steps in your workflow. Each stage can require approval, collect information, or simply document progress. Workflows progress through stages sequentially.

Example stages for invoice approval:

1. Submit2. Manager Review3. Finance Approval4. Complete

Assignees

Each stage can have one or more team members assigned to approve, review, or complete it. Assignees receive notifications when action is needed.

Custom Forms

Collect structured information at any stage using custom forms. Perfect for gathering employee details, project requirements, or feedback.

Documents

Attach relevant files, contracts, or supporting documents to workflows. All team members can access these documents throughout the workflow lifecycle.

Creating a Workflow

    Click "New Workflow"

    From your dashboard, click the "New Workflow" button in the top right.

    Name and Describe

    Give your workflow a clear, descriptive name and add details about its purpose.

    Add Stages

    Define the steps in your process. Start simple - you can always add more later.

    Assign Team Members

    Choose who needs to approve or review each stage.

    Configure Forms (Optional)

    Add custom form fields to collect specific information.

    Save and Activate

    Review your workflow and click "Save" or "Activate" to make it live.

Managing Your Workflows

Organization with Folders

Keep workflows organized by creating folders. Group workflows by department, project, or any other category that makes sense for your team.

Notifications

Stay informed with real-time notifications:

  • When you're assigned to a workflow stage
  • When a workflow you created receives updates
  • When a workflow you're involved in is completed
  • When comments are added to your workflows

Analytics & Tracking

Monitor workflow performance with built-in analytics. Track completion times, bottlenecks, and team productivity to continuously improve your processes.

Workflow Status

Workflows can have different statuses throughout their lifecycle:

Active

Currently in progress, awaiting approvals or actions

Completed

All stages approved and workflow finished successfully

Cancelled

Workflow stopped before completion (can be reopened)

Paused

Temporarily on hold, can be resumed at any time

Workflow Best Practices

Start simple - Begin with basic workflows and add complexity as needed
Use clear names - Make workflow and stage names descriptive and easy to understand
Define ownership - Ensure each stage has a clear owner or approver
Set expectations - Include estimated completion times in descriptions
Document steps - Add instructions or guidelines in stage descriptions
Review regularly - Periodically assess workflows and optimize inefficient ones
Communicate changes - Notify team members when workflows are updated
Archive old workflows - Keep your workspace clean by archiving completed workflows
